IT Teams Improving Remote Access Efficiency for the Devolutions blog.

IT-Forsyningen centralizes IT for five municipalities

IT-Forsyningen, the joint municipal IT organization for five Danish municipalities, centralized remote access, privileged credentials, and system documentation with Remote Desktop Manager and Devolutions Server. The result: faster troubleshooting, stronger security, and a single operational platform for more than 1,000 servers.

“Remote Desktop Manager has become an indispensable component of our organization’s operational landscape. It is a multitool that can handle almost anything. Whenever a new requirement comes up, there is nearly always a way to make it work.”

— Niels Albertsen, Server Specialist and Database Administrator at IT-Forsyningen

About IT-Forsyningen

IT-Forsyningen is a joint municipal IT operations organization serving five Danish municipalities. With its own data center, a centralized service desk, and a highly skilled operations team, it delivers secure, reliable IT services to thousands of public-sector employees. By consolidating operations across municipalities, IT-Forsyningen achieves significant efficiencies while providing deep technical expertise that individual municipalities would struggle to maintain on their own.

Managing the IT backbone for five municipalities means supporting a large, diverse, and highly regulated infrastructure. The organization oversees more than 1,000 servers powering critical systems, including:

  • Citizen-facing municipal websites
  • Access control and public safety systems
  • Healthcare and home-care applications
  • Passport and driver’s license issuance platforms
  • Clinical IT systems such as dental imaging equipment
  • Core administrative and operational systems

Issues and challenges

With 80 employees operating in a highly coordinated, fast-paced environment, IT-Forsyningen faces several integrated challenges. The team needs to:

  • Centralize access to hundreds of remote systems
  • Securely store and manage privileged credentials
  • Standardize documentation in a single unified platform
  • Ensure precise role-based access for different teams
  • Support fast troubleshooting through the internal service desk

Evaluation

IT-Forsyningen found that most tools on the market solved only parts of the problem. The organization needed a complete operational ecosystem. That requirement led them to Devolutions. After exploring Remote Desktop Manager and Devolutions Server, they determined it was the right fit based on a few critical advantages:

  • A single source of truth: All remote connections, credentials, and system documentation are stored in one secure, centralized database.
  • Robust credential security: Integrated password vaults support both shared and personal credentials without exposing sensitive information.
  • Instant access to more than 1,000 servers: Technicians can launch connections directly from Remote Desktop Manager using the correct credentials, speeding up workflows and reducing manual errors.
  • Faster onboarding and consistent workflows: New team members become productive quickly with standardized documentation attached to each system entry.

Results

With Remote Desktop Manager and Devolutions Server, IT-Forsyningen has achieved:

  • Higher operational efficiency and fewer repetitive steps
  • Stronger security and compliance through centralized access control
  • Reduced tool fragmentation, consolidating many small systems into one platform
  • Better collaboration, thanks to shared documentation and consistent processes
  • Faster resolution times for operational and support incidents
  • Greater flexibility from a multitool that can handle almost anything; there is always a new way to make Remote Desktop Manager work

“For a public-sector IT environment serving thousands of end users, these improvements directly enhance reliability and service delivery. Our team has fully embraced Remote Desktop Manager, and realize that it is a critical and central part of our operations.”

— Niels Albertsen, Server Specialist and Database Administrator at IT-Forsyningen

Looking ahead

IT-Forsyningen is now evaluating Devolutions PAM as a way to further strengthen the security and governance of privileged access. As a dedicated Privileged Access Management solution that integrates with Remote Desktop Manager, Devolutions PAM would let the organization build on its existing environment while introducing stronger controls for administrative access, including:

  • Strengthened governance and oversight of privileged access
  • Advanced protections for privileged credentials
  • Enhanced security without disrupting established workflows
  • Scalable privileged access controls across municipal environments

Devolutions PAM would give IT-Forsyningen a more comprehensive approach to privileged access management, extending the security capabilities already in place through Remote Desktop Manager while keeping the workflows and operational efficiency familiar to its IT team.

Evaluating Devolutions PAM also builds on the strong relationship between IT-Forsyningen and Devolutions, and creates an opportunity to deepen that partnership as the organization’s security requirements continue to evolve. Together, the two organizations can keep identifying practical ways to strengthen IT security and support the complex needs of a modern municipal IT environment.

Reflections and advice

Drawing on his team’s experience so far, Niels shared:

“We would recommend Remote Desktop Manager to organizations looking to simplify and centralize their IT management. It has made our daily work and server management much easier, while improving security and consistency.”
